Synergy Massage and Bodywork

Client Policies and Service Agreement

 

Massage therapy, personal training, mobility, stretching, recovery, and related services provided by Synergy Massage & Bodywork. By booking an appointment, purchasing a package, enrolling in a recurring plan, or receiving services, the client acknowledges and agrees to the policies below.

1. Appointments and Scheduling

 

All services are provided by appointment only. Appointments may be scheduled online, by telephone, by text message, or directly with Synergy Massage & Bodywork.

An appointment is not guaranteed until it has been confirmed. A valid payment method may be required to reserve an appointment.

Clients are responsible for confirming the correct date and time of their appointments and keeping their contact information current.

2. Cancellation and Rescheduling Policy

 

Synergy Massage & Bodywork requires at least 24 hours’ notice to cancel or reschedule an appointment.

Appointments canceled or rescheduled with less than 24 hours’ notice may:

  • Be charged the full scheduled service price;

  • Result in one session being deducted from a package; or

  • Result in the loss of the appointment deposit.

 

Failure to attend an appointment without providing notice will be considered a no-show and will be charged at the full scheduled rate or deducted from the client’s package.

 

Emergency situations may be considered individually. Exceptions are not guaranteed and remain at the discretion of Synergy Massage & Bodywork.

 

Repeated cancellations, late cancellations, or no-shows may result in advance-payment requirements or the termination of future scheduling privileges.

3. Late Arrival Policy

Appointment times are reserved specifically for each client.

 

Clients who arrive late will receive the remaining time available in the scheduled appointment. The session may not be extended because another client may be scheduled immediately afterward.

 

The full scheduled price will still apply.

 

Clients arriving more than 15 minutes late may be asked to reschedule. The appointment may then be treated as a late cancellation.

4. Payment Policy

 

Payment is due before or at the time services are provided unless another written arrangement has been approved.

 

Synergy Massage & Bodywork may require advance payment for appointments, packages, programs, or recurring services.

 

Accepted payment methods may include credit card, debit card, electronic payment, or other approved methods.

 

Clients are responsible for maintaining a valid payment method and paying any outstanding balance before receiving additional services.

 

Prices are subject to change. Previously purchased services will be honored according to the written terms in effect at the time of purchase.

5. Service Packages and Programs

 

Massage, training, mobility, and recovery packages are sold at a reduced or reserved rate based on the client’s commitment to completing the purchased program.

 

Unless otherwise stated in writing:

  • Packages are assigned to the individual who purchased them.

  • Packages may not be shared, transferred, exchanged, or resold without written approval.

  • Package sessions must be used within 12 months of the purchase date.

  • Package sessions are subject to the cancellation and no-show policy.

  • Missed appointments may be deducted from the remaining package balance.

  • Promotional, discounted, or complimentary sessions have no cash value.

  • Packages may not be divided into partial cash refunds.

 

Purchasing a package reserves access to Synergy Massage & Bodywork’s professional services. A client’s decision to discontinue services does not cancel the original purchase agreement.

 

This includes discontinuation because of scheduling changes, relocation, loss of interest, purchasing personal exercise equipment, joining another facility, choosing another provider, or deciding that the services are no longer needed.

6. Refund Policy

 

Except where required by law, payments for completed services, reserved appointments, service packages, programs, memberships, deposits, and promotional purchases are final and nonrefundable.

 

Refunds will not normally be provided for:

  • A change of mind;

  • Unused package sessions;

  • Voluntarily discontinuing a program;

  • Failure to schedule or attend appointments;

  • Relocation or scheduling conflicts;

  • Purchasing alternative equipment or services;

  • Dissatisfaction caused by expectations that were not communicated before or during the service; or

  • Failure to complete the recommended program.

 

When appropriate, Synergy Massage & Bodywork may offer a package extension, service modification, account credit, or another reasonable accommodation. Such accommodations are voluntary and do not create an obligation to provide the same accommodation in future situations.

 

If Synergy Massage & Bodywork permanently becomes unable to provide purchased services, the client may receive a prorated refund or service credit for the unused portion, as appropriate.

Nothing in this policy limits any rights or remedies that cannot legally be waived.

7. Medical Conditions and Package Adjustments

Clients must immediately report any injury, illness, medical diagnosis, pregnancy, surgery, medication change, unexplained pain, numbness, dizziness, weakness, loss of function, or other health change that could affect participation.

A new injury or medical condition does not automatically qualify a purchase for a cash refund.

Depending on the circumstances, Synergy Massage & Bodywork may:

  • Modify the service;

  • Temporarily place a package on hold;

  • Extend the package’s use period;

  • Apply the remaining balance toward another appropriate service;

  • Require medical clearance; or

  • Discontinue services when treatment would not be safe or appropriate.

Medical documentation may be requested when a client asks for a health-related package extension or accommodation.

8. Gift Certificates

Gift certificates are separate from discounted service packages and training programs.

Gift certificates may be redeemed for eligible services at the current service price. If the cost of the selected service exceeds the certificate’s available value, the recipient is responsible for the remaining balance.

Gift certificates:

  • Have no cash value except where required by law;

  • May not be replaced if lost, stolen, or used without authorization unless sufficient purchase records are available;

  • Cannot be used to purchase another gift certificate; and

  • Are subject to applicable laws concerning redemption, expiration, and refunds.

 

An unexpired gift certificate will be honored according to its stated terms. If Synergy Massage & Bodywork is unable to honor an unexpired gift certificate, the available remedy will be handled in accordance with applicable law.

9. Massage Therapy Policy

Massage therapy services are provided for wellness, relaxation, mobility, recovery, and the management of muscular tension and discomfort.

 

Massage therapy is not a substitute for medical evaluation, diagnosis, emergency care, physical therapy, chiropractic care, or treatment by another qualified healthcare professional.

 

Clients must provide complete and accurate health information before receiving massage therapy and must report any changes before future sessions.

 

The client may request changes to pressure, positioning, technique, draping, or the areas being addressed. The client may also stop the session at any time.

 

The massage therapist may modify, postpone, or discontinue a session when a technique is contraindicated, the client’s health information is incomplete, or continuing would not be safe or professionally appropriate.

10. Draping, Privacy, and Professional Boundaries

Massage therapy is strictly professional and nonsexual.

 

Appropriate draping will be used during massage therapy. Only the area being professionally addressed will be uncovered, and all legally required areas will remain properly covered.

 

Any sexual request, inappropriate exposure, sexual comment, unwanted contact, threatening behavior, harassment, or conduct intended to sexualize the professional relationship will result in the immediate termination of the session.

 

When a session is terminated for inappropriate conduct:

  • The full service fee remains due;

  • No refund or account credit will be provided;

  • Future services may be permanently refused; and

  • The incident may be reported to building security or law enforcement when appropriate.

 

The same professional standards apply to clients, therapists, trainers, employees, contractors, and visitors.

11. Personal Training Policy

Personal training services are designed to improve fitness, strength, conditioning, movement quality, mobility, balance, and physical performance.

 

Clients understand that exercise involves physical exertion and may involve risks such as muscle soreness, fatigue, strains, falls, aggravation of an existing condition, or other injury.

 

Clients are responsible for:

  • Disclosing relevant injuries and medical conditions;

  • Following instructions and safety procedures;

  • Using equipment properly;

  • Wearing appropriate clothing and footwear;

  • Communicating pain, dizziness, weakness, unusual shortness of breath, or other concerning symptoms; and

  • Exercising within their individual abilities.

 

Clients should stop exercising and immediately notify the trainer if they experience sharp pain, chest pain, faintness, unusual breathing difficulty, sudden weakness, confusion, or another potentially serious symptom.

Synergy Massage & Bodywork may require medical clearance before beginning or continuing a training program.

12. Mobility, Stretching, and Recovery Services

Mobility, assisted stretching, Stretchssage, recovery, cupping, electrical stimulation, cryotherapy, red-light services, and similar techniques are intended to support movement, recovery, flexibility, relaxation, and general wellness.

Responses to these services vary. Temporary soreness, redness, tenderness, bruising, skin discoloration, fatigue, or sensitivity may occur with certain techniques.

Clients must communicate any discomfort and may ask for a technique to be reduced, changed, or stopped.

These services do not guarantee the elimination of pain, correction of an injury, restoration of function, or prevention of future injury.

13. Pain and Communication Policy

Some pressure, stretching, or exercise may feel challenging, but a client should not remain silent about sharp, burning, electrical, radiating, or otherwise unusual pain.

Clients are responsible for communicating honestly during every session. Synergy Massage & Bodywork cannot respond to discomfort, symptoms, or concerns that have not been disclosed.

The provider may stop a service and recommend medical evaluation when symptoms appear to be outside the appropriate scope of massage, training, mobility, or wellness services.

14. No Guarantee of Results

Synergy Massage & Bodywork will provide services professionally and in good faith, but individual results cannot be guaranteed.

Results may depend on factors including the client’s health, attendance, consistency, lifestyle, recovery, nutrition, sleep, stress level, outside activities, medical conditions, and compliance with recommendations.

Purchasing a service or package does not guarantee a particular physical, medical, athletic, weight-loss, pain-relief, or performance outcome.

15. Services for Minors

Clients under 18 years of age must have authorization from a parent or legal guardian before receiving services.

Synergy Massage & Bodywork may require the parent or guardian to:

  • Complete and sign intake and consent documents;

  • Remain on the premises;

  • Be present in the treatment or training area; or

  • Provide additional information concerning the minor’s health and participation.

 

Synergy Massage & Bodywork may decline or discontinue services for a minor when appropriate consent, supervision, or documentation has not been provided.

16. Hygiene, Illness, and Safety

Clients should not attend appointments while experiencing a contagious illness, fever, vomiting, diarrhea, unexplained rash, active infection, or another condition that could place the provider or other clients at risk.

 

Clients should provide as much notice as possible when canceling because of illness.

Synergy Massage & Bodywork may postpone or discontinue an appointment when a client appears ill, impaired, unsafe, abusive, or otherwise unable to participate appropriately.

Clients must follow all facility, sanitation, equipment, and safety rules.

17. Personal Belongings

Clients are responsible for securing their personal belongings.

Synergy Massage & Bodywork is not responsible for lost, stolen, forgotten, or damaged property unless the loss was directly caused by conduct for which responsibility cannot legally be excluded.

18. Right to Refuse or Discontinue Service

Synergy Massage & Bodywork reserves the right to refuse, modify, or discontinue services when:

  • A requested service is outside the provider’s professional scope;

  • The service may be unsafe or contraindicated;

  • Medical clearance is needed;

  • The client provides incomplete or inaccurate information;

  • The client violates these policies;

  • Payment obligations have not been satisfied;

  • The client behaves in a threatening, discriminatory, harassing, sexual, or abusive manner; or

  • Continuing the professional relationship is no longer appropriate.

 

When Synergy Massage & Bodywork ends an ongoing package relationship for reasons unrelated to client misconduct, the remaining account balance will be reviewed and handled fairly in accordance with the circumstances and applicable law.

19. Questions, Complaints, and Payment Disputes

Clients with a question or concern should contact Synergy Massage & Bodywork directly and provide a reasonable opportunity for the matter to be reviewed.

Refund demands, complaints, or disputes should include:

  • The client’s name;

  • The date of purchase;

  • The service or package purchased;

  • The reason for the request; and

  • The requested resolution.

 

Complex payment or package disputes will not be resolved through repeated or hostile text messages. The client may be asked to discuss the matter by telephone, scheduled meeting, email, or another documented method.

Threatening, abusive, or harassing communications will not be tolerated.

Submitting a chargeback or payment dispute does not automatically cancel these policies or establish that a refund is owed. Synergy Massage & Bodywork may provide the payment processor with appointment records, purchase terms, communications, attendance records, signed agreements, and other relevant documentation.

20. Policy Updates

Synergy Massage & Bodywork may update these policies as business practices, services, or legal requirements change.

The policy that was disclosed and accepted at the time of a purchase will generally govern that purchase unless the client and Synergy Massage & Bodywork agree otherwise in writing.

21. Client Acknowledgement

By scheduling an appointment or purchasing services, the client confirms that they:

  • Have had an opportunity to review these policies;

  • Understand the cancellation and no-refund terms;

  • Agree to provide complete and accurate health information;

  • Understand that results cannot be guaranteed; and

  • Agree to communicate questions, symptoms, discomfort, and concerns promptly.

 

Suggested booking acknowledgment:

“I have read and agree to Synergy Massage & Bodywork’s Client Policies, including the 24-hour cancellation policy, package terms, payment obligations, and no-refund policy.”
